The proposed resolution approves the contract for the planned elevator and escalator maintenance at a cost not to exceed $38,220 $58,020 per year

SUBSTITUTE-Authorizing the Mayor and City Clerk to enter into a contract on behalf of the City and Monona Terrace Community and Convention Center with Otis Elevator Company for elevator and escalator maintenance.
Body
WHEREAS, funding for the elevator/escalator services is provided each year as part of the adopted Monona Terrace operating budget, and
WHEREAS, the Purchasing Division and Monona Terrace, through a competitive process, solicited proposals for RFP #8505-0-2016-BP Elevator and Escalator Maintenance, allowing vendors to bid for these services, and
WHEREAS, an evaluation team consisting of City employees and facilitated by the Purchasing Division, conducted a detailed evaluation, scored and ranked each of the proposals using criteria including cost, qualifications and references; and Otis Elevator Company received the highest score; and
WHEREAS, Otis proposed a contract price not to exceed $38,220 $58,020/year; and
WHEREAS, the City’s RFP advertised the contract as a two (2) year contract with the option for three (3) additional renewal terms of one (1) year each; and
WHEREAS, under MGO 4.26(3)(e), service contracts of more than three (3) years in duration require approval of the Common Council;
NOW, THEREFORE, BE IT RESOLVED, that the Mayor and the City Clerk are authorized to sign a contract on behalf of the City and Monona Terrace Community and Convention Center for elevator and escalator services with Otis Elevator Company for the purposes and price described above, for an initial term of two (2) years; and
BE IT FURTHER RESOLVED, that the Chair of the Board and the Director of Monona Terrace Community and Convention Center are authorized to execute up to three (3) additional one (1) year renewals of this contract, with the same terms and conditions as the original contract with new, mutually agreeable, negotiated pricing.
