The intent of staff is to have this item appear on the agenda monthly to allow for continued focus on actively engaging the community on the important work of the task force.  This legislative file will also be a relatively easy access point for accumulated information and data collected from community and stakeholder input. 

 

The Community Engagement Plan being implemented by staff to support the Task Force includes keeping the public informed and collecting the public’s input as it relates to the work of the Task Force.

In an effort to keep the public informed, staff have created a dedicated website (available here: <https://www.cityofmadison.com/parks/about/golftaskforce.cfm>) that is an access point for all matters related to the Task Force’s work.  This includes meeting dates, times, location.  It also includes direct linking access to the City’s Legistar system.  Additionally, there is the ability for anyone to sign up to receive email updates related to the Task Force.  These email updates will always include when agendas and/or reports are published. 

 

Staff are assembling all public input on golf that we have received over the recent past and will be providing these to the Task Force and attaching this information to this legislative file as well.  The majority of what has been received to date is direct email correspondence from individuals.  This type of feedback will continue to be collected, accumulated, and shared with the Task Force and the public. Staff are also working on a short (<10 minutes to complete) survey that will be shared with the Task Force for consideration in December.  This survey will attempt to highlight some of the key questions related to the Task Force and will also strive to provide additional relative values from our community as it relates to the golf courses.   The proposed timeline would be to release the survey by early January and close it either early February or early March.  This would be a decision based around when in the process the Task Force would like to have the survey data.  Additionally, staff will share a plan to conduct focus groups in January, February, and/or March that will attempt to bring in specific stakeholder voices, including those that are not commonly at the table even though the decisions may impact them.  This is a strategy that ties into our overarching work on the City’s Racial Equity and Social Justice Initiative.
