Fiscal Note
The proposed resolution authorizes the Monona Terrace to enter into a sole source agreement for staging equipment at a cost not to exceed $106,100. The Monona Terrace has sufficiently budgeted for this purchase in the adopted 2018 Capital Budget within the capital program for Machinery and Other Equipment funded by Room Tax (MUNIS 17414).

SUBSTITUTE - Authorizing the Mayor and City Clerk to enter into a sole source agreement with StageRight, Inc., in an amount not to exceed $106,100 for the purchase of “stage decking, base supports, stairs and an ADA ramp”, for use by Monona Terrace.
Body
WHEREAS, as the Monona Terrace Community and Convention Center (“Monona Terrace”) celebrates its 20th anniversary, it continues to be necessary to maintain Monona Terrace’s plant and equipment in a manner that is consistent with its reputation as a premier convention and meeting venue; and,
WHEREAS, it is necessary to replace risers and accessories in 2017 and 2018; and,
WHEREAS, such risers must be physically and esthetically compatible with existing equipment, including stairs, skirting, hand rails, and chair guards, originally purchased in 1997 as well as existing equipment and accessories purchased in 2017; and,
WHEREAS, the existing risers, accessories, and related equipment, including equipment that will not be immediately replaced, were designed, manufactured and exclusively distributed by StageRight, Inc., which was selected through a competitive bid process in 1997; and,
WHEREAS, because StageRight is the exclusive manufacturer and supplier of the “stage decking, base supports, stairs and an ADA ramp” that are physically and esthetically compatible with existing equipment, Stageright is the “sole source” for risers and related equipment that will replace equipment that has reached the end of its useful life; and,
WHEREAS, because existing compatible equipment that has not reached the end of its useful life will continue to be used by Monona Terrace, the purchase of the “stage decking, base supports, stairs and an ADA ramp” from StageRight will be economical to the City in savings of money that would otherwise be needed to replace all existing stage equipment; and,
WHEREAS, funding for the purchases of the risers and related accessories is provided for as part of the adopted Monona Terrace Capital budget; and,
WHEREAS, pursuant to Sec. 4.26 (2) of Madison General Ordinances, the Common Council must authorize the purchase of goods not subject to a competitive bidding process;
NOW THEREFORE BE IT RESOLVED, that the Mayor and City Clerk are authorized to enter into a sole source agreement with StageRight, Inc., in an amount not to exceed $106,100 for the purchase of “stage decking, base supports, stairs and an ADA ramp”, for use by Monona Terrace.
