Costs for the software maintenance contracts are estimated to be $258,150 and funding is provided for in the Information Technology 2011 Adopted Operating Budget, Purchased Services/System License and Maintenance.
 
Title
Authorizing the Mayor and City Clerk to execute maintenance contracts as needed for software support and maintenance services from sole-source providers.
 
Body
WHEREAS, the following vendors are sole source providers of support and maintenance services for the tools unique to their environment:
 
o      ESRI, Inc. - GIS Modules
o      Optical Image Technology - DocFinity Document Management
o      Systems X Design, LLC - SxD Financials
o      Business Objects Enterprise Pro for Crystal Reports
 
WHEREAS, all four applications are utilized by agencies citywide; and
 
WHEREAS, support and maintenance services funding is provided for each year as part of the adopted Information Technology operating budget; and
 
WHEREAS, because these vendors were chosen as sole-source providers of these services, and the total contract price is over $25,000, approval of the Common council is required by MGO 4.26(4)(b) and signature by the Mayor and City Clerk are required by MGO 4.26(5).
 
NOW, THEREFORE, be it resolved that the Mayor and City Clerk are authorized to execute maintenance contract(s) as needed for the above described support services.
