Fiscal Note
Funding for this project in 2008 is provided for in the Information Technology 2008 Adopted Operating Budget. Future funding will require Common Council approval in subsequent budget years.
Title
Authorizing the Mayor and City Clerk to sign a three (3) year contract for Cisco hardware and software support and maintenance services with Berbee Information Networks.
Body
Whereas, Information Technology currently uses Cisco hardware and software products for enterprise voice and data communications on the City network; and
Whereas, in January of 2007 the City signed a master contract agreement with Berbee Information Networks for consulting Services and Product Agreement through January 2010; and
Whereas, the master agreement sets forth the terms and conditions by which Berbee Information Networks provides services and products for the City of Madison; and
Whereas, the City has received a quote for fixed pricing to continue the necessary Cisco hardware and software maintenance and support services for 2008, 2009 and 2010 for a fixed cost of $326,541 to be paid in equal payments of $108,847 with no additional interest charges; and
Whereas, by fixing the maintenance costs for three years the City will not incur annual price increases of 4-12% from Cisco through 2010; and
Whereas, under MGO 4.26 service contracts more than $25,000, regardless of duration, and exempt from bidding as per MGO 4.26(4)(a), must be individually authorized by resolution.
NOW, THEREFORE, be it resolved that the Mayor and City Clerk are authorized to sign a three (3) year contract for software support and maintenance services with Berbee Information Networks at the prices set forth above.
