Fiscal Note

The proposed resolution authorizes the City to enter into a sole source agreement with Mobark LLC to repair damages to the Streets Division wood grinder at an estimated cost of $75,451.66. This equipment was damaged during regular use and is currently out of service. The required parts and labor can only be obtained through the machine’s manufacturer. Funding is available in the Fleet Services budget for Equipment (41100-53413). No additional appropriation is required.

Body

The proposed resolution approves the sole source agreement with Mobark LLC (Solvit INC) to repair asset# 8258 Morbark 6600 Wood Hog Grinder. This asset is stationed at the Olin brush site and is operated by the Streets division. The main function of this machine is to reduce wood, brush and tree waste into chips. During normal use this machine sustained damage to one of the main components and now requires replacement of the drum and its related components. This machine is currently out of service.

WHEREAS,

The estimate for these repairs is subject to change pending further disassembly and inspection of the machine. Parts and labor could exceed the estimate if further damage is discovered. Unknown damage cannot be estimated until it is disassembled.

WHEREAS, MGO 4.26 requires Common Council approval of purchases of $50,000 or more if the vendor was not selected through a competitive selection process, and the reasons for selecting this vendor are set forth above and in the attached Noncompetitive Selection Request Form; and

NOW, THEREFORE, BE IT RESOLVED, that the Mayor and City Clerk are authorized to execute a noncompetitive purchase to repair damaged asset# 8258.
