The proposed resolution authorizes a three-year contract for maintenance at Monona Terrace. The contract total over three years is $92,725 and will be funded from Monona Terrace’s operating budget. No additional appropriation required.

Authorizing a noncompetitive 3-year service contract with Johnson Controls, Inc. (“JCI”) for the service, upgrades and maintenance of HVAC building technology and equipment at Monona Terrace Community and Convention Center (“Monona Terrace”) (District 4)

Body
WHEREAS, the City owns and operates Monona Terrace; and
WHEREAS, Monona Terrace requires service and maintenance of both the equipment and technology that controls operation of the HVAC system; and
WHEREAS, This will require a vendor that is familiar with our current equipment and technology; and
WHEREAS, JCI has installed and has been servicing and maintaining the equipment and technology that operates the HVAC system at Monona Terrace since 1997 because JCI software and technology is proprietary, and
WHEREAS, Monona Terrace has negotiated a 3-year service contract, with JCI for the ongoing service, maintenance and required periodic upgrades of the HVAC technology and equipment with the following terms, year one: $29,975, year two: $30,900, year three: $31,850; and
WHEREAS, under sec. 4.26(4)(b), of the Madison General Ordinances if the aggregate amount of the fee for services will be $50,000 or more and the contract was not subject to a competitive bidding process, the contract shall meet one of the other requirements of sec. 4.26(4)(a) and be approved by the Common Council; and
WHEREAS, for the reasons stated in the attached Noncompetitive Selection Request Form, the proposed 3-year contract with JCI meets the exception to the bidding process in section 4.26(4)(a)7. which states “A particular consultant has provided services to the City on a similar or continuing project in the recent past, and it would be economical to the City on the basis of time...
