Surcharge for Fundraisers

This is the only fee that staff propose to increase in 2019. Because of construction, it would be untimely to increase regular rental fees for 2019.

 

Change to Surcharge for Fundraisers and Vendor Fairs

Staff recommends that the surcharge for fundraisers be applied to vendor ‘fairs’. (Vendor fairs are defined as groups of individual vendors setting up tables or booths inside a building space to vend to the general public.) Increasingly, groups of small vendors rent the Evjue Commons, and, staff assumes collect fees from the various individuals to have a table or booth. Staff find that this type of rental takes more staff time, results in negative encounters because the individuals who set up booths or tables are not advised of the limitations of the space by the original renter. In addition, the renter tries to squeeze more vendors in the space than makes sense - presumably in order to earn more revenue for themselves. A surcharge may help reduce the number of such staff-intensive rentals and/or at least increase the city’s revenue to compensate for the increased staff time.

 

Additional instructions for fundraisers and vendor fairs: (starred items are required for all rental groups)

                     *The vending permit fee must be paid to the City of Madison by each vendor.

                     *All set up and clean up must be completed during the rental time.

                     An Insurance Certificate is required (either by individual or for the group)

                     Vendors must provide their own tables.

                     The room layout must be submitted to Olbrich staff 14 days in advance - Olbrich reserves the right to make changes to a vendor fair if the layout doesn’t allow for the movement of the general public in a safe manner.

                     *Admission may not be charged to a vendor fair.

                     All food sold must be pre-packaged.

                     *Nothing may be hung from the ceiling, walls, or artwork. Artwork and plants must not be moved or removed. All booth material must be free-standing.

                     *Olbrich Botanical Gardens and Olbrich Botanical Society logos must not be used in advertising, posters, etc. or in any way that implies that Olbrich Botanical Gardens supports or sponsors the fundraiser or vendor fair. It should just be used as a location with the address.

                     *Additional storage outside of the rental space is not available at Olbrich Botanical Gardens.

                     *At least 4 inches of clearance must be maintained along the walls and windows.

                     Olbrich recommends that vendors park offsite in order to provide maximum parking for visitors and attendees.
